You are the event coordinator for Summit's spring fun run and open day.
What has happened
The spring fun run and open day is on Sunday 18 October at the sport hub, with about 450 participants across three distances on the ovals and surrounding paths, come-and-try sessions in the stadium, food vendors and 40 volunteers. Council and the local health service are partners. Angela Moreau wants the event plan and budget by 30 September. Every volunteer must have a verified Working with Children Check, the course crosses a car park entry, October weather can be hot, and last year's event ran over budget on marquee hire and first aid cover. The programs and bookings system holds the venue booking and Priya Nair is your co-coordinator.

Programs, Sessions and Bookings
Schedules classes, lessons, coaching sessions, competitions, outdoor trips and venue bookings across all three sites with the lead and participant numbers.
Member and Client Register
Holds member, client and program participant records including screening status, programs, trainer and membership status.
Incident, Rescue and First Aid Register
Logs every injury, rescue, first aid treatment, near miss, hazard, contamination, behavioural and child safety event with its review and actions.
Equipment and Maintenance Register
Tracks gym, pool plant, sports, outdoor, vehicle and emergency equipment with inspection dates, condition and service status.

The plan, budget and risk assessment must be specific to this event and site, with the car park crossing, heat and lost child risks controlled and the budget showing the arithmetic and a contingency. Volunteer verification must be recorded before rostering. Look for realistic stakeholder communication and a presentation that asks for clear decisions. The programs and bookings entries must match the plan.
