Working with Children Check and Qualifications Register

Purpose. This register records the Working with Children Check status and the qualifications and currencies of every worker and volunteer, so that no one works in a role without the checks and qualifications it requires.
1.Scope
The register covers every employee, contractor, volunteer, club coach working in Summit programs and student on placement. It records the role, the checks and qualifications the role requires, the evidence sighted, the expiry dates and the date the person was last verified.
2.Working with Children Check
Every person whose role involves contact with children must have their Working with Children Check verified through the official online verification before starting and re-verified annually. Card numbers are not recorded in the register beyond the verification outcome and expiry date. Any negative notice or change in status results in immediate removal from child-related work.
3.Qualifications by role
The register lists the required qualifications and currencies for each role. Currency is tracked for first aid, cardiopulmonary resuscitation, oxygen resuscitation, pool lifeguard, swim teacher, fitness instructor registration, outdoor leadership, remote area first aid and coaching accreditation.
- Lifeguard: pool lifeguard, first aid, CPR, oxygen
- Swim teacher: swim teacher accreditation, CPR, Working with Children Check
- Fitness instructor: fitness qualification, first aid, CPR, industry registration
- Outdoor leader: outdoor leadership for the activity, remote area first aid, Working with Children Check
- Coach: coaching accreditation, child safety induction, Working with Children Check
- Plant operator: pool operator qualification, chemical handling
4.Alerts and stand-downs
The register produces an alert 60 days before any expiry. A person whose required check or currency lapses will be stood down from that role until evidence of renewal is sighted and recorded.
5.Privacy
The register holds personal information and is accessible only to the Customer Experience and Safety Manager, department managers for their own team and the General Manager. Evidence documents are stored securely and destroyed when no longer required.
6.Review
The register is reviewed monthly and reported to the board quarterly with the number of people current, expiring and stood down.
